The Accounting Representative is responsible for facilitating and performing a variety of complex clerical accounting functions in one or more of the following areas: general accounting, accounts receivable, accounts payable or payroll for multiple affiliated companies. These functions include preparing bank reconciliations on a periodic basis, accurately recording and updating financial information, performing administrative activities within the Accounting Department, interacting with banks and vendors to resolve reconciliation problems, and performing all other responsibilities as directed by Management.

Primary Duties Include (but not limited to):

  • Maintain general and subsidiary ledgers and journals
  • Receive invoices for goods and services rendered, verify that the information within the invoices is accurate, and prepare batches for data entry
  • Enter invoices into system for payment - posting debits and credits
  • Maintain accurate records of all receipts, vendor payments, account balances, and checks
  • Examine and record financial transactions for assigned client accounts
  • Research invoice discrepancies and unpaid invoices on a timely basis
  • Assist with payroll functions such as processing payroll, reviewing payroll registers, and processing draft check requests
  • Process backup reports after data entry
  • Prepare vendor checks for mailing
  • Prepare and distributes client invoices on scheduled basis
  • Apply payments to client accounts and processes client credit memos
  • Compile data for preparation of periodic and annual financial reports for both departmental and company required use
  • Reconcile client/vendor accounts on a monthly basis
  • Assist with the collections process as needed

Requirements for This Position:

  • Knowledge of basic accounting principals
  • 10-key aptitude
  • Ability to rapidly learn new procedures and technologies as needed
  • Proficient working with the MS Office Suite
  • Superb attention to detail
  • Strong communication, organization, and time management skills 
  • QuickBooks experience is a plus
  • Associate's Degree required, however, Bachelor's Degree is preferred
